Terms and Conditions. These terms are in place to ensure safety, fairness and clarity for both customers and the workshop.

1. Servicing

1.1 All servicing is carried out by appointment only and subject to availability. By booking a service, collection, delivery or maintenance plan, you agree to these terms and conditions. 1.3 All services included assessment before proceeding and clear approval before any additional work will only be carried out once authorised. 1.5 Procycle operates as a cashless business and payment is required in full before collection or return of the bicycle.

2. Deposits

2.1 A booking deposit is required to reserve workshop time and is deducted from the final invoice. 2.2 For maintenance plan services where labour is already covered, the deposit is offset against parts or consumables used. 2.3 Deposits may be retained in the event of late cancellation, non-attendance, or failure to comply with these terms.

3. Bicycle Condition

3.1 Bicycles must be presented in a reasonable state of cleanliness suitable for a professional workshop. 3.2 Excessively dirty bicycles may be refused, rebooked, or subject to a cleaning charge, and deposits may be forfeited. 3.3 Where cleaning is required for workshop hygiene or safety, a rapid wash method may be used which prioritises cleanliness over cosmetic finish.

4. Personal Items

4.1 All accessories and personal items must be removed from the bicycle prior to arrival. 4.2 Procycle accepts no responsibility for loss or damage to items left on the bicycle.

5. Safety

5.1 Safety critical issues will be identified and explained. 5.2 Procycle reserves the right to refuse servicing or test riding where safety critical recommendations are declined.

6. Liability

6.1 Procycle takes reasonable care when working on bicycles but accepts no responsibility for indirect or consequential loss including loss of any equipment items, travel or financial loss. 6.2 Total liability is limited to the cost of the service provided. 6.3 Nominated times are indicative only and may be affected by supplier delays or parts availability. 6.4 Parts are sourced from genuine UK distributors where possible but availability cannot be guaranteed.

7. Older Bicycles

7.1 Some procedures carry increased risk due to age, wear, corrosion or lack of maintenance. 7.2 Where risk exists, approval will be sought and by authorising the work the customer accepts those risks. 7.3 Responsibility for deterioration due to underlying condition remains with the customer.

8. Parts & Components

8.1 Bicycles and components are subject to wear, ageing and degradation. 8.2 Where wear is identified, replacement will be recommended in line with manufacturer guidance where possible. 8.3 Obsolete or unsupported components may require the customer to source original or sacrificial parts. 8.4 Procycle follows manufacturer procedures where possible using genuine or appropriate aftermarket components. 8.5 True obsolescence may require full replacement recommendations.

9. Customer-Supplied Parts

9.1 Customer supplied parts may be refused if unsafe, incompatible or of questionable origin. 9.2 Parts from online marketplaces may be refused due to counterfeit risk. 9.3 Original packaging is preferred. 9.4 Procycle accepts no responsibility for performance or longevity of customer supplied parts.

10. Special Orders & Payments

10.1 Some parts require special ordering and may not be held in stock. 10.2 Payment in advance may be required for special order or high value parts. 10.3 Special order parts may be non-returnable. 10.4 Packaging, delivery or shipping costs may be passed on where applicable.

11. Batteries & Chargers

11.1 Procycle works only on LAPS and previous systems. 11.2 Compatibility must be confirmed in advance. 11.3 Battery keys and chargers must be provided where required. 11.4 Batteries showing signs of damage, swelling, overheating or failure will be refused and must not be stored on site. 11.5 Customers using adaptive, cargo or non-standard bicycles must notify Procycle at the time of booking.

12. Cleaning

12.1 Reasonable care is taken with cosmetic finishes, however invasive methods may be required to preserve function or safety. 12.2 Cleaning may reveal pre-existing wear. 12.3 Cosmetic changes are not grounds for refusal unless a detailing service has been booked.

13. Warranty

13.1 Workmanship is guaranteed for 20 days from completion. 13.2 Concerns must be reported within 7 days of invoice issue. 13.3 This warranty applies to labour only and excludes wear, misuse, impact damage or age-related failure.

14. Uncollected Bicycles

14.1 Bicycles must be collected promptly following completion. 14.2 Storage charges may apply after three days. 14.3 Bicycles uncollected after 28 days may be considered abandoned and disposed of to recover costs. 14.4 Collection and delivery are subject to a separate collections policy. 14.5 Certain bicycles may require third party vehicle hire for collection, which must be requested in writing and paid in advance.

15. Plans

15.1 Maintenance plans apply to one named bicycle only, are non-transferable and unused value is not redeemable.

16. Discounts & Promotions

16.1 Discounts and promotions are applied at Procycle's discretion and may be withdrawn.

17. Educational Resources

17.1 Free educational resources are provided online. 17.2 In-person advice or repeated technical guidance beyond a reasonable level may be chargeable or declined.

18. Equipment

18.1 Procycle does not lend or hire tools or equipment under any circumstances.

19. Subcontracting

19.1 Procycle may subcontract specialist services where appropriate but retains final authority and responsibility for the completed service.

20. Right to Refuse

20.1 Procycle reserves the right to refuse service in cases of abusive behaviour, non-compliance or unsafe requests.

21. CCTV

21.1 CCTV may be in operation on the premises for safety, security and property protection.

22. Complaints

22.1 Complaints should be raised promptly and in writing in accordance with the complaints policy.

23. Public Statements

23.1 Customers are encouraged to seek resolution directly before making public statements. 23.2 Knowingly false or defamatory statements may be challenged and Procycle reserves the right to respond publicly.

24. Amendments

24.1 These terms may be amended at any time and the version in effect at the time of booking applies.

25. Governing Law

25.1 These terms are governed by the laws of England and Wales and subject to the exclusive jurisdiction of the courts of England and Wales.
